Hospitality Event Coordinator - Vail Collection Full Time - Year Round

The Hospitality Event Coordinator is responsible for providing the Director of Events and the Event Managers with administrative support in soliciting new conference and catering accounts, maintaining relationships with existing accounts and building relationships within the local community.
Provides the support in coordinating the details associated with all client functions to ensure our group/event guests have the highest quality experience possible while maintaining a profitable Department.
Assists in preparing detailed group resumes and works closely with the F&B and Culinary teams to coordinate functions.
Responsible for distribution of banquet/catering information to internal and external customers.
Further responsible for support the Vail Mountain component of our business by processing lift ticket sales and varied customer focused tasks.

Mountain Events and Activities Coordinator - Vail Mountain Full Time - Year Round

Summer

  • Advanced planning for wedding deck component of our business, onsite facilitator of all wedding deck events
  • Further onsite support to Service Managers at additional events as needed
  • Lift Ticket Processing
  • Advanced planning Adventure Ridge component of our business, onsite facilitator of all Adventure Ridge business
  • Department distributions (weekly calendar, event orders)
  • Invoice collection of all group related business, set department up for monthly financial reporting
  • Group Billing and Accounts Receivable
  • Financial Reporting
  • Out of Office coverage for Service Managers (when service managers are on the mountain serving clients at venues there is a lack of office coverage for clients that are not onsite but set to arrive in the near future)

Winter

  • Off Season Advanced planning for wedding deck component of our business (there is a large need for this as brides are planning their summer wedding in the winter months)
  • Advanced Planning Adventure Ridge component of our business, onsite facilitator of all Adventure Ridge business
  • On site contact for all events at Black Forest Race Arena.
    Retrieval of scores and pins, delivery to the client.
  • Lift Ticket Processing, delivery, retrieval of unused tickets once group departs
  • Conduct all Meet & Greets for Ski Groups, upsell Welcome Receptions
  • Department distributions (weekly calendar, event orders)
  • Invoice collection of all group related business, set department up for monthly financial reporting
  • Group Billing and Accounts Receivable
  • Financial Reporting
  • Out of Office coverage for Service Managers (when service managers are on the mountain serving clients at venues there is a lack of office coverage for clients that are not onsite but set to arrive in the near future)
  • Further onsite support to Service Managers at additional events as needed
  • Will also cross over to responsibilities related to hospitality as the departments are integrated.

Requirements:

  • High School Diploma required
  • Must have excellent computer skills in programs including Microsoft Word, Excel & Outlook.
  • One year of administrative or coordination experience required.
  • Ability to read and comprehend complex correspondence required.
  • Ability to effectively present detailed information both verbally and in written form to guests, employees and management required.
  • Ability to safely ski/snowboard Green & Blue trails on Vail Mountain.

  • Ability to spend time on snow to assist with events such as ski school splits, race and photo sessions.

  • Valid driver's license and ability to deliver information to guests via both foot and car (this applies mostly to the delivery of lift tickets and vouchers).

  • Flexible schedule required, generally normal business hours with frequent need to work nights, holidays and weekends.
    Summer Friday & Saturdays are extremely busy.

Preferred Skills:

  • Proficiency in Salesforce FDC/Delphi preferred.
  • Conference/Catering coordination experience preferred.
  • Fine hotel experience preferred.

The budgeted range starts at $15.
